From Sandra Koch, CEO of Aurora Consulting Group LLC
Hello friends and clients,
May is here — and with tax season behind us, this is one of my favorite times of year. It’s the season where we get to pause, look up from the work, and ask ourselves: What’s working? What could be better? What’s next?
At Aurora, our theme for 2026 is Refine • Define • Align — and we’re carrying that intention into everything we do this month. Not just internally, but for you. Because the truth is, the businesses that grow strongest aren’t the ones that overhaul everything at once. They’re the ones that make small, consistent, intentional improvements — month after month, year after year.
This month’s newsletter is packed with practical ideas to help you do exactly that — from automation tools that save real time and money, to important IRS updates you need to know about, as well as a quick update on our team.
Whether you’re a long-time Aurora client or you’re exploring whether we might be a good fit for your business — Welcome! This newsletter goes out to hundreds of owners, entrepreneurs, and professionals each month, and I’m genuinely glad you’re here.
If anything in this newsletter sparks a question, or if you’d like to explore what working with Aurora looks like, I’d love to connect with you.
With gratitude,
Sandra L. Koch

13 Tools That Transform How Your Business Operates
Running a business means juggling a hundred tasks. But here’s the truth: many of the manual processes you’re managing right now could be automated, integrated, or streamlined — freeing up your team’s time, reducing costs, and improving how your business actually works.
This is refinement in action. You don’t have to overhaul everything at once. You just need to find one area, improve it, and build from there.
At Aurora, we’ve spent years testing tools and discovering which integrations move the needle. Here are 13 categories that have transformed how we work — and how they might transform yours.
1. Google Workspace: Hidden Power You Already Own
Most businesses subscribe to Google Workspace but only use email and storage. You’re leaving money on the table.
What you’re probably missing: Google Forms (skip Typeform), Google Calendar with invite links (skip Calendly at $10–12/month), Google Drive File Stream (folders that behave like regular desktop folders — no syncing delays), and Google Meet (skip Zoom).
The impact: You’re likely already paying for these features. Using them eliminates $200+/month in unnecessary subscriptions and simplifies your entire tech stack.
(If you have been using a free Gmail account for your business and are ready to upgrade to a workspace account, reach out to us for a discount code)
2. VoIP Phone Systems: Grasshopper, RingCentral, Nextiva, OpenPhone, Google Voice
Traditional phone systems require equipment, maintenance contracts, and IT overhead. Cloud-based VoIP eliminates all of that.
Real example: Aurora switched to a cloud-based VoIP system at around $50/month. Every employee gets extensions that forward to their cell phone. The team sees all calls, texts, and voicemails in one shared inbox. No dropped calls. No missed messages. Zero hardware.
The impact: Eliminate equipment costs and communication gaps. Your team stays connected whether they’re in the office or remote.
3. Ramp + Dext: Spend Management That Thinks For You
Manual expense management is one of the biggest time-wasters in small business. Ramp automates accounts payable, reimbursements, and company credit cards. Dext captures receipts automatically via email integration.
Here’s the game-changer: The moment an employee swipes a Ramp card, they’re automatically texted with the option to reply with a photo of their receipt. No lost receipts. No manual data entry. No end-of-month scrambles. Additionally, with email integration, invoices are automatically matched to card spend.
The impact: Your accounting team stops spending hours on expense entry. Your books stay cleaner and more accurate. You gain real-time visibility into spending.
Aurora includes Dext as an added value service for all of our clients accounting clients. If you are interested in discussing, please reach out to our team to get started. Opening a Ramp account through Aurora offers significant platform savings.
4. Revenue Management, Invoice & Payment Automation
Getting paid on time is cash flow. Making it easy for clients to pay speeds that up.
We use Ignition at Aurora — built for professional service firms. But almost every industry has invoicing and payment automation tools that integrate seamlessly with QuickBooks. And QuickBooks itself includes recurring invoices and built-in payment processing — you may not even need a separate tool.
The impact: Clients pay faster. Reminders are automatic. Your team stops chasing late payments.
5. Workflow & Project Management: Karbon, Notion, Striven, Hive, ClickUp
Managing projects via email and text is chaos. These tools centralize deadlines, task ownership, and real-time progress visibility.
The impact: Your team knows what’s due, when, and who owns it. Managers stop status-checking and start strategizing. Nothing falls through the cracks.
6. AI Tools: Claude & ChatGPT
AI assistants handle routine cognitive work — drafting emails, summarizing documents, brainstorming ideas, answering routine questions.
The impact: Your team spends less time on repetitive tasks and more time on high-value, strategic work. One person can accomplish significantly more in the same amount of time.
7. International Payroll & Payments: Rippling, LetsDeal, Wise, Veem
If you have contractors, team members, or clients internationally, these tools automate cross-border payments with automatic currency conversion, lower fees, and faster settlement.
The impact: You can hire and work globally without complexity. Payments are reliable and cost-effective.
8. Slack: Unified Team Communication
Email is slow. Slack is fast. All team communication — messages, file sharing, notifications, and integrations — in one place.
The impact: Less email noise, faster decisions, better knowledge sharing, and stronger team connection — especially for remote or hybrid teams.
9. EasyLlama: Team Training That Actually Happens
Compliance training is non-negotiable. EasyLlama makes it interactive, mobile-friendly, and automatically tracked — so that training actually gets completed and documented.
The impact: Your team stays compliant without constant chasing. You’re protected if you’re ever audited.

10. 1Password & Keeper: Password Management & Security
Every employee manages dozens of passwords. Without a system, they’re either writing them down or reusing them — both serious security risks.
The impact: Security improves because strong, unique passwords are standard. Fewer breaches. Faster access revocation when someone leaves.
11. QB Time: Labor Cost Tracking Per Project
QB Time integrates with QuickBooks for invoicing and Rippling for payroll, tracking time spent on specific projects and automatically pulling that data into invoices.
The impact: You bill accurately. You know which projects are profitable and which are draining resources. Smarter resource planning follows.
12. Carta: Cap Table Management
If you’re growing with equity or investors, Carta keeps your cap table clean, audit-ready, and immediately accessible.
The impact: Cleaner fundraising. Better investor relations. Fewer costly legal complications as your business grows.
13. HubSpot & Monday.com: CRM, Leads & Business Development
Centralized contact database. Lead tracking. Proposal management. Email integration. Revenue forecasting — all in one place.
The impact: Your sales and client management is visible and repeatable. Nothing falls through the cracks. You forecast revenue accurately.
What This Really Means
Every tool on this list takes work your team is currently doing manually and automates it, integrates it, or creates improved visibility. That means your team spends less time on routine work, your processes are more consistent, your data is cleaner, and your bottom line strengthens.
This month, ask yourself: What area of my business is eating up the most manual labor right now?
Pick one area. Explore one tool. Make one improvement. That’s how refinement works — one intentional step at a time.
If you’d like guidance on which tools fit your specific business, we’re here to help.

IRS Updates You Should Know
📬 Got Mail from the IRS? Don’t Toss It.
If you receive a letter or notice from the IRS, open it immediately and read it carefully. Most notices reference a specific issue with your tax return or account and will outline exactly what action — if any — is required. You typically only need to respond if you disagree with the notice, the IRS has requested additional information, or there is a balance due. Keep all IRS notices for at least three years. And remember — the IRS will never contact you via social media or email. Their first contact is always by mail. If you receive something and aren’t sure what to do, reach out to us before responding.
